ERP Integration for Digital Equipment Management

The Challenge

A trades business keeps its commercial data in an ERP and its equipment inventory in a specialised asset management platform. Both make sense - but every tool, machine and price therefore existed twice, maintained by hand.

The platform provider engaged us to dissolve this duplication for a specific end customer. The challenge lay less in the technology than in the domain: which system is authoritative for which field? What happens when both sides change conflicting data?

Our Approach

Establish data ownership before writing code. We determined field by field which system leads - master data and pricing from the ERP, location and condition data from the asset platform. This delineation was the actual project work; the implementation followed from it.

Reconciliation rules instead of blind overwrites. The sync works with explicit rules for conflicts and logs every discrepancy rather than silently resolving it. For equipment data tied to maintenance intervals and liability, traceability matters more than convenience.

Error handling from the start. ERP interfaces are not always available. The integration treats outages as normal rather than exceptional - failed transfers are retried and stay visible instead of getting lost.

The Results

Equipment master data is maintained in one place and flows automatically into the other system. Duplicate maintenance is gone, and with it the discrepancies between systems that used to accumulate regularly.

For the platform provider the integration doubles as a reference case: the same cut can be reused for further ERP systems, which considerably shortens future customer onboarding.
